We are hiring! Administrative Officer Position at ODF

The Open Dialogue Foundation works for the promotion of human rights and ending of political persecution in post-Soviet countries as well safeguards the rule of law within the EU. ODF collects information and provides it to international political forums like the OSCE, the UN, the Council of Europe or the European Parliament, as well as national parliaments. ODF also promotes the Global Magnitsky Act and advocates for the reform of INTERPOL and SIS, to safeguard their mechanisms from abuse.

We are looking for an administrative officer to support our Brussels advocacy team in our daily tasks. We would offer you a test period with subsequent long-term employment, firstly on a part-time basis but with a full-time option depending on the development of our organisation. Your prior experience will also be taken into account.

Main tasks will include:

  • Monitoring relevant websites (European Parliament, European Commission and other institutions, media outlets, think tanks etc) to keep track of events relevant to the Foundation 
  • Assisting colleagues whenever necessary (support in organisation of events, agendas for advocacy missions, outreach etc)
  • Maintaining the team calendar, team’s agendas and assisting in setting up appointments, board meetings, conferences etc.
  • Attending meetings and events on behalf of the Foundation and keeping minutes
  • Managing office supplies and placing orders, managing invoices
  • Liaising with suppliers, authorities and other organisations in administration matters
  • Liaising with the Foundation’s accountants
  • Maintaining and updating the Foundation’s databases
  • Managing phone calls and incoming correspondence (e-mail, letters, packages etc.)

Required skills:

  • University degree in a relevant field (international relations, political science, human rights)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills (English & French, other languages are an asset, especially Polish or Russian)
  • Detail-oriented
  • Responsible and well-organised
  • Flexible team player
  • Positive and fast learning attitude
  • Proficiency in using office software like MS Office (MS Excel and MS Word, specifically) & Google suite, with willingness to learn new tools
